How to Follow Up on Gym Enquiries: A Lead Status System for the Front Desk
Gym enquiries go cold because nobody knows who called whom. A simple lead status system — Hot, Warm, Did not pick up, Not interested, Low budget, Out of radius — and the follow-up rule for each.

A gym gets enquiries from everywhere: walk-ins, Instagram DMs, Google Maps calls, a friend of a member. Most of them land in someone's phone. A week later nobody remembers whether the person who asked about the evening batch was called back, or what they said.
The fix isn't a sales course. It's a shared list where every enquiry has a status, and a rule for what each status means you do next.
Why "contacted" isn't a status
Most lead lists have three columns: New, Contacted, Converted. The trouble is that "Contacted" hides everything that matters. Did they pick up? Were they keen? Was the price the problem, or the distance? Each of those needs a different next step, and if they all sit under one label, the desk treats them all the same — or not at all.
Six statuses your desk will actually use
- Hot — ready to join, asked about price or start date. Follow up within 24 hours, ideally with a trial slot booked.
- Warm — interested, not decided. Follow up in 2–3 days with something useful: the batch timings, a coach's name, a free trial.
- Did not pick up — try twice more at a different time of day, then send one WhatsApp message. Don't call five times.
- Low budget — not a no. Park them and come back when you run an offer or open a cheaper off-peak plan.
- Out of radius — lives or works too far away. Stop calling. If you open another location, this is your first list.
- Not interested — they said no. Respect it, and stop spending the desk's time on them.
Keep New for enquiries nobody has touched yet, and Converted for the ones who joined. Everything in between should be one of the six above.
The daily 15-minute lead routine
- Clear New first. Every new enquiry gets a first call the same day.
- Then Hot. These are the people who will join somewhere this week — make it your gym.
- Then Did not pick up, at a different time from yesterday's attempt.
- Warm leads get their 2–3 day follow-up.
- Update the status after every call, before you dial the next one. A status that's a day old is a status nobody trusts.

Once statuses are honest, the numbers start telling you things:
- Lots of Low budget? Your entry price or your marketing is attracting the wrong crowd — or there's room for an off-peak plan.
- Lots of Out of radius? Your ads are reaching too wide an area. Tighten the targeting.
- Lots of Did not pick up? You're calling at the wrong time. Try evenings.

If your leads already live in Excel or a Google Sheet, you don't need to retype them. Replace "Contacted" with statuses that say what happened, attach one next step to each, and spend fifteen minutes a day working the list in the same order. The gyms that convert more enquiries aren't better at selling — they're better at remembering.
